Cloud Finances

Every business (no matter its size or whether it sells products, services or both) must deal with its finances in an organised manner if it is to remain profitable and proactive (by making informed decisions through effective analysis and understanding revenue streams and expenses). Freelancers and small businesses may need just a simple system that allows them to produce professional-looking quotes, invoices and statements; automatically chases late payments; and records expenses. As a business, we utilise Zoho Invoice because the software is simple to use and integrates with our Zoho CRM system. However, we have also used and implemented both Kashflow and QuickFile for clients. As such, we will provide a quick overview of the key features of each of the products to help you determine which might be most suitable for your business needs.

Zoho Invoice
We embraced Zoho Invoice because we used Zoho CRM, Mail, Campaigns and Vault. Previously, we used Microsoft Excel to produce invoices and manage expenses, followed by QuickFile because it was more efficient for managing our finances, and eventually switched to Zoho when we realised we could manage all facets of our business using their software applications.

Zoho Invoice lets you customise your quote and invoices with your company logo; automatically chases late payments with reminder emails (you can create as many reminders as you like and specify timings); displays an easy-to-understand dashboard (detailing sales, receipts and expenses); and makes recording expenses a doddle. Kashflow
Kashflow provides a user-friendly interface and allows for customisable invoices to be produced and for late payments to be automatically chased. Additionally, the software allows for bank reconciliation and automatic filing of quarterly VAT reports directly to the HMRC portal. And no-one enjoys filing VAT returns! For businesses that run projects (such as the construction industry), Kashflow allows expenses to be apportioned against individual projects, which provides detailed P&L information for every job and is an essential insight into what is and isn’t profitable for a business. QuickFile
Another easy-to-use piece of software, QuickFile is designed for the non-accountant and is great for producing invoices, keeping track of expenses, balancing your business bank account and automatically chasing late payments. Not only is the software simple, it is free to use if you produce less than a 1,000 invoices a year! Over that amount, the annual charge is £45 + VAT, which is great value. For prices, click here.
